Wedding Venue Questions Checklist

Use this at a viewing, then record the answers that actually affect your decision. Some questions will not apply; the aim is comparison, not interrogation.

Find wedding venues

Availability & exclusivity

□ Is our date available and how long can it be held?□ Is the venue exclusive-use? Which spaces remain public?□ What is the maximum comfortable seated and evening capacity?□ Are other weddings or events taking place that day?

Timings & access

□ When may suppliers and the wedding party arrive?□ What are ceremony, music, bar and departure finish times?□ Who manages the day and when do we meet them?□ How much setup and pack-down time is included?

Ceremony

□ Which spaces are licensed for ceremonies?□ Is an outdoor ceremony possible and what is its indoor backup?□ Are chairs, signing table and rehearsal included?□ Are confetti, candles or cultural ceremony items restricted?

Food & drink

□ Is catering in-house, preferred-list or external?□ How are allergies and dietary requirements managed?□ What tastings, staffing, crockery and service are included?□ What are the corkage rules and bar minimums?□ Are arrival, toast, table wine, soft drinks and water included?

Suppliers & practicalities

□ Are there required or restricted suppliers?□ What power, loading, storage and kitchen access is available?□ Are amplified music, smoke, sparklers or drones restricted?□ Is public liability documentation required?

Access & accommodation

□ Is step-free access available throughout the guest route?□ Where are accessible toilets, parking and quiet spaces?□ Is there a private changing or feeding space?□ Is accommodation on site or is transport needed?

Weather contingency

□ Who decides when an outdoor plan moves indoors?□ Is the wet-weather room genuinely large enough?□ Are heating, shade, umbrellas or covered routes available?□ Which outdoor areas become unusable after heavy rain?

Costs & contract

□ What is the full hire price and VAT position?□ What deposits, instalments and damage deposits apply?□ What exactly is included and what commonly costs extra?□ What are cancellation, postponement and date-change terms?□ When can prices change and what is fixed in the contract?
