The agreement and privacy information for your account

Terms and Privacy Notice

The rules for using WedFrame and a plain-English explanation of how personal information is handled.

Terms of Use

These terms form an agreement between you and WedFrame Ltd when you create or use a WedFrame account. If you do not agree, do not create an account or use the account-only services.

Acceptance is contractual, not blanket privacy consent. Agreeing to these terms records your agreement to the service rules and confirms that you have received this Privacy Notice. Where the law requires consent for a separate use of information, WedFrame will ask for that consent separately.

WedFrame provides wedding-planning workspaces, guest and RSVP tools, wedding websites, messaging, supplier discovery, media galleries, optional print services and related features. Some features may be marked preview, beta, private testing or coming soon and may change before general release.

Accounts and eligibility

  • You must be at least 18 to create a couple, organiser or supplier account.
  • WedGames is for adults aged 18 or over. WedFrame does not use age-verification machinery; organisers must not invite children to use WedGames.
  • You must give accurate account information, keep access to your email or Google account secure, and tell WedFrame promptly if you believe your account or a private link has been compromised.
  • You may only use a wedding workspace or supplier profile that you are authorised to manage.

Your responsibilities when adding people

You decide which guests and wedding-team members to add, which questions to ask, which messages to send and what to share. You must use personal information lawfully, fairly and only where it is relevant to planning or delivering the wedding.

  • Tell guests that you are using WedFrame and direct them to this notice before or when their information is added or first used.
  • Keep information accurate, limit private notes to what is genuinely needed, and do not add insulting, unlawfully discriminatory or excessive information.
  • Use contact details for wedding administration, not unrelated marketing.
  • Ordinary attendance and meal preferences do not require a special consent checkbox merely because they are RSVP answers.
  • Allergy, health, religious or other specially protected information needs extra care. Ask only when necessary, let the guest provide it wherever possible, and use the separate guest notice and explicit-consent control where WedFrame presents one. Account acceptance does not supply that guest consent.
  • Do not publish a person's information or identifiable media without the rights and permissions needed for that publication. An appropriate adult must authorise deliberate publication of content featuring a child.

Content, links and acceptable use

You and your guests keep ownership of original content. By submitting content, you give WedFrame a limited, non-exclusive licence to host, copy, resize, process, display and deliver it only as needed to operate the requested service, create requested outputs, maintain security and backups, and meet legal obligations.

You must not upload or share unlawful, abusive, threatening, sexually explicit, privacy-invasive, malicious or rights-infringing material. WedFrame may restrict or remove content, links or accounts where reasonably necessary to protect people, the service or the law.

QR codes, RSVP links, gallery links and unlisted website links are bearer links: anyone who receives a working link may be able to use it. Share them carefully and revoke them where a feature provides that control. Public content can be copied or cached by other people and search engines.

Availability, backups and liability

WedFrame aims to provide a reliable service but cannot promise uninterrupted or error-free availability, permanent storage, or compatibility with every device. Keep your own copies of information and media that you cannot afford to lose. Preview and beta features may change, be restricted or be withdrawn.

Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud, or your statutory consumer rights. Subject to that, WedFrame is not responsible for loss caused by another user's conduct, content you or an organiser chose to share, a recipient resharing a link, or an external service outside WedFrame's reasonable control.

These terms are governed by the laws of England and Wales. If you are a consumer, you also keep any mandatory rights to bring a claim in the courts available to you under applicable law.

Organisers choose much of the guest information placed in their workspace. For those organiser-directed purposes, WedFrame provides the platform and processes the information to deliver the organiser's instructions, while WedFrame remains responsible for its own account, security, service-operation, support, legal and business purposes.

Information we use

Depending on the features used, this can include:

  • account email, Google identity details where chosen, sign-in, session, account type and workspace membership;
  • couple names, wedding date, venue, plans, budgets, suppliers, schedules, seating, messages, website content and settings;
  • guest names and contact details, households, invitations, attendance, meal choices, dietary or accessibility needs, transport, accommodation and answers to organiser-created questions;
  • photos, video, audio, filenames, captions, upload details, game nicknames, answers, scores and moderation state;
  • supplier business and contact information, profile content, provenance, claims, subscriptions, messages and reporting totals;
  • order, delivery, approval, refund and provider identifiers. Stripe handles complete payment-card details; WedFrame does not store them in its product database;
  • support correspondence, rights requests and limited technical, security, abuse-prevention and service-delivery records.

Information may come from you, an organiser or wedding-team member, a guest or uploader, a supplier or contributor, a connected service, public supplier sources, or use of WedFrame itself.

Marketing choices and any non-essential tracking are separate from account acceptance. WedFrame does not sell personal information or use the inspected service for cross-site advertising or a solely automated decision with legal or similarly significant effects.

Who receives information and where it is processed

Information is shown only according to the feature and sharing choices: for example to authorised wedding members, invited guests using a link, message recipients, supplier owners, fulfilment partners, or the public when content is deliberately published. Authorised WedFrame support may access information where necessary.

Service providers include Hostinger for website hosting; Supabase for authentication, database, functions and storage; Backblaze B2 for object storage; Resend for email; Stripe for payment; Prodigi for print fulfilment; and Google or Canva where you choose a connected feature. Apple/iTunes, YouTube, Vimeo and content-delivery providers may receive limited request information when their requested catalogue, video or asset is loaded.

WedFrame is based in the United Kingdom, but processing is not limited to the UK. The primary Supabase project is hosted in Ireland. Supabase's contracting and operational providers may process information in Singapore, the United States and other listed subprocessor locations. Resend stores email-service data in the United States. Other providers and their subprocessors may process information in the UK, EEA, United States or elsewhere according to the selected service and provider configuration.

Where UK restricted-transfer rules apply, WedFrame uses an adequacy regulation or an approved contractual safeguard, such as the UK International Data Transfer Agreement or UK Addendum, together with the assessment required for that transfer. You can ask for information about the safeguard relevant to your information.

How long we keep information

WedFrame keeps identifiable information only while it is needed for the service or purpose, an active account or shared wedding, an organiser-selected media period, security, a dispute or rights request, or a legal and accounting requirement. The exact criterion depends on the record. Deletion can mean secure erasure, de-identification or removal of the link to an account.

Existing customer commitments and approved feature-specific periods continue to apply. Internal candidate periods for newer account, wedding, guest, analytics and message records are proposals for retention review; they are not customer promises and do not silently shorten an agreed gallery, order or backup commitment. Any adopted period will be reflected here before it changes customer handling.

Closing one account may not delete a wedding that another authorised member continues to use. Limited order, security, dispute and acceptance evidence may be retained where necessary. Files exported to your own Google Drive are controlled by you and must be removed there by you.

Your rights, complaints and changes

Depending on the purpose and lawful basis, you may ask for access, correction, erasure, restriction or portability; object to processing based on legitimate interests; and withdraw a separate consent without affecting earlier lawful use. WedFrame may need to verify identity and may retain or refuse part of a request where law permits, explaining why.

Email hello@wedframe.co.uk for a privacy request, objection, consent withdrawal, guest-media removal or content concern. You can also complain to the Information Commissioner's Office.

WedFrame may update these terms and this notice when the service, law or providers change. A new version will be preserved and shown before materially different terms are applied to an account where renewed agreement is required.
