Wedding Suppliers
When Should You Book Each Wedding Supplier?
Book in the order your decisions depend on each other. Secure the date and place first, then the limited-availability people and services that matter most to you.

Quick answer
Settle your budget, date and venue before booking services that need those details. Next, approach the limited-availability suppliers most important to you, perhaps a photographer, planner, caterer, entertainer or particular celebrant. Leave design and quantity-dependent orders until the decisions behind them are firmer. A shorter engagement means a quicker sequence, not an impossible wedding.
Dependencies matter more than a universal month
A photographer needs a date and locations; a caterer needs a venue model and guest range; stationery needs confirmed wording. Booking out of order can create change fees or incompatible plans.
Draw a simple dependency chain and identify which decisions unlock several others. Resolve those first rather than working down an arbitrary checklist.
Secure the structural bookings
Ceremony arrangements, venue and any essential planner or coordinator establish the framework. Check legal requirements separately from celebration plans, particularly for ceremonies outside standard licensed settings.
Read the venue’s access, supplier and cancellation terms before you pay anyone else. A required supplier list or a sound limit may rule out a choice you were about to make.
Prioritise scarce people and dates
Individual photographers, celebrants, bands and specialist creatives can serve only one or a small number of weddings per day. If their work is a high priority, enquire once the date is firm.
Availability pressure shouldn't override due diligence. Review full work, meet where useful, compare the actual scope and sign a clear contract.
Book logistics before decorative detail
Catering, bar, transport, accommodation blocks, toilets, power and equipment can determine what is physically possible. Deal with them before buying items that assume a particular layout or schedule.
For seasonal flowers, speciality cakes or complex production, early consultation may shape the design even if final quantities are confirmed later.

Leave quantity-dependent orders until informed
Invitations, place stationery, favours, meals and transport all depend on guest numbers and replies. Reserve the supplier or enough capacity when needed, then agree when the final figures must be supplied.
Avoid ordering exact quantities too early. Ask about sensible overage, minimums and the cost of later additions.
Use every booking as a contract checkpoint
Check deliverables, timings, location, staffing, travel, setup, payment dates, cancellation, postponement and what happens if the named person is unavailable. Keep the signed document and invoice together.
Never assume a social-media message reserves a date. The supplier should state what creates a binding booking, usually a signed agreement and cleared payment.
If the ideal supplier is unavailable
Ask what qualities mattered: style, approach, service scope, price or personal rapport. Use those criteria to find alternatives rather than trying to copy one business exactly.
A definite no is useful. Do not ask someone to overbook or wait indefinitely for a cancellation while other good options disappear. Move on to the next supplier who fits your day.
