50 Smart Questions to Ask a Wedding Venue
Take these 50 questions to your serious venue viewings. They will help you compare more than the photographs: timings, food, access, weather plans, restrictions and the full cost.
It is easy to leave a venue viewing remembering the view and forgetting to ask who moves the chairs. Use these questions to picture the whole day: what is included, what guests will experience and which decisions are still yours to make. You do not need to fire every question at a coordinator in one breath. Keep a calm record for each serious option so you can compare them afterwards.
Availability and capacity
- Is our preferred date available, and how long can it be held without payment?
- What is the comfortable seated capacity in the room we would actually use?
- What is the evening capacity, and where do additional guests enter?
- Are minimum guest numbers or minimum spends attached to our date?
- Which dates or seasons change the price, package or available spaces?
Exclusivity and privacy
- Is the venue exclusive-use, and exactly which spaces are included?
- Will another wedding, event, hotel function or public visit happen that day?
- When does our access begin and end?
- Which areas can guests use while rooms are being turned around?
- Who is the named manager responsible for our wedding on the day?
Timings and access
- When may the wedding party and suppliers arrive?
- What are the ceremony, music, bar and final-departure times?
- How much setup and pack-down time is included?
- Can items be delivered or collected the day before or after?
- How long does it take to move between preparation, ceremony, drinks and reception spaces?
The time you can get in affects the whole morning. If hair and make-up, dressing or detail photographs will happen there, ask when the room opens and whether it has enough light, mirrors, sockets and space. Put that answer into a realistic morning timeline before you book people to arrive earlier than the venue allows.
Ceremony
- Which rooms or outdoor spaces are licensed for ceremonies?
- What is the seated capacity and layout of each ceremony option?
- Who books the registrar or celebrant, and what arrival time do they require?
- Are confetti, candles, cultural items, animals or live music restricted?
- What is the complete indoor backup for an outdoor ceremony?
Catering
- Is catering in-house, from a required list or open to an external caterer?
- What tastings are included, and when are menus confirmed?
- How are allergies, intolerances, religious requirements and children's meals handled?
- Are staffing, crockery, linen, service and kitchen equipment included?
- What evening food options and minimum quantities apply?
Drinks and bar
- What drinks are included for arrival, meal and toast?
- May we bring our own drinks, and what corkage or service charges apply?
- What are the bar opening times, prices, payment options and minimum spend?
- Which alcohol-free choices are offered with the same care as alcoholic drinks?
- Can unopened stock be returned, and who manages chilling, glassware and service?
Suppliers and logistics
- Must we use any required or preferred suppliers?
- What access, parking, loading and storage are available to suppliers?
- What power, sound-limit or equipment restrictions affect entertainment?
- Who coordinates suppliers and the room turnaround on the day?
- What insurance, risk assessments or certificates must suppliers provide?
Accommodation and guest access
- Is accommodation on site, and can rooms be reserved without committing guests?
- What are check-in, checkout and breakfast arrangements?
- Is the guest route step-free from parking to ceremony, meal and toilets?
- Are accessible bedrooms, toilets, hearing support and quiet spaces available?
- What taxi, minibus or late-night transport arrangements usually work here?
Weather and seasonal plans
- Who decides when an outdoor plan moves indoors, and by what time?
- Is the wet-weather space genuinely large enough when fully set?
- Are guest routes covered, well lit and usable after heavy rain?
- What heating, cooling, shade or drinking-water provision is available?
- Where can photographs happen if the weather prevents outdoor portraits?
Restrictions, costs and contract
- What is restricted: music, confetti, candles, smoke, sparklers, drones or decorations?
- What is the total quoted price, including VAT and every mandatory charge?
- What deposits, instalments, damage deposits and security costs apply?
- What commonly costs extra, and when can prices change?
- What are the cancellation, postponement, date-change and minimum-number terms?
Compare the answers, not just the rooms
After each visit, jot down what felt straightforward, what still needs an answer and what the full day is likely to cost. The most photogenic venue may not be the easiest one for guests if travel is awkward, the morning is rushed or the rain plan does not work. Get important promises in writing and read the contract before you commit a non-refundable deposit.
Pay attention to how clearly the team answers as well as what it says. A prompt written follow-up, a named contact and a realistic wet-weather route are useful evidence of how the planning process may feel. If an answer matters to your decision, ask for it to appear in the proposal or contract rather than relying on a conversation at the viewing.
Before you pay, ask which price is fixed, when guest numbers become binding and how later changes will be charged. Read the cancellation, postponement and payment terms rather than skimming to the signature. This is not pessimism; it is how both sides begin with the same understanding.
